Position Summary

The Front Desk Receptionist serves as the first point of contact for patients, visitors, and staff at the El Paso Center for Diabetes. This position plays a critical role in creating a welcoming, organized, and efficient clinical environment. The receptionist supports patients and providers by managing front desk operations, scheduling appointments, verifying insurance information, collecting payments, and maintaining accurate patient records.

Essential Duties & Responsibilities

  • Welcome patients and visitors in a professional, courteous, and compassionate manner.
  • Verify and update patient demographic and insurance information accurately.
  • Maintain smooth clinic flow by communicating patient status to appropriate team members.
  • Provide exceptional customer service while addressing patient needs, questions, and concerns.
  • Schedule, confirm, and manage patient appointments using the electronic scheduling system.
  • Answer incoming phone calls, route calls appropriately, and take accurate messages.
  • Verify insurance coverage in coordination with the billing department.
  • Explain insurance benefits, co-pays, and payment policies to patients.
  • Collect co-payments and outstanding balances at patient check-in.
  • Upload laboratory results to the patient portal.
  • Manage incoming documents through the fax server.
  • Provide general information to patients regarding Center services and procedures.
  • Perform administrative tasks including filing, processing forms, and maintaining office supplies.
  • Ensure the front desk area remains clean, organized, and professional.
  • Effectively multitask, prioritize responsibilities, and manage time efficiently.
  • Identify and address patient concerns or complaints, escalating issues when appropriate.
  • Perform other duties as assigned.

Qualifications & Education Requirements

  • Bilingual in English and Spanish (required).
  • High school diploma or GED required.
  • Associate degree or administrative training preferred.
  • Previous experience as a medical receptionist preferred.
  • Knowledge of medical insurance processes and terminology.
  • Experience using electronic health record (EHR) systems.
  • Proficiency in Microsoft Word and Outlook.
  • Strong organizational skills and ability to manage multiple priorities.

Work Schedule

  • Full-time position (40 hours per week).
  • Monday–Friday, 8:00 a.m.–5:00 p.m. (Lunch: 1:00 p.m.–2:00 p.m.).
  • Alternating Wednesdays: 12:00 p.m.–9:00 p.m.
  • Flexibility required, including occasional evenings and weekends.

Physical Requirements

  • Ability to lift up to 50 pounds as needed.
  • Ability to sit or stand for extended periods.
